These terms cover booking and travelling on a Civil Rights Journey tour. Registering for a trip means you accept them. Please read the payment and cancellation sections carefully — they explain what is refundable and what is not.

1. Who we are

The Civil Rights Journey (“we”, “us”) operates guided educational tours through the American South. Contact us at info@crjourneys.org with any question about these terms.

2. Booking and registration

A booking is confirmed only once the deposit has been received and we have sent written confirmation. Until then a seat is not reserved.

The person who registers is responsible for the accuracy of the details provided for every traveler on the booking, and for passing our communications on to them. An adult must register any traveler under 18.

3. Prices, deposits and payment plans

  • A nonrefundable deposit of $150 per traveler is due at registration and reserves that seat.
  • Each traveler on a booking is charged the same program fee and their own deposit, paid together in a single checkout.
  • After the deposit you may choose a 3, 6, 9 or 12-month payment plan. Instalments are charged automatically to the card on file.
  • A card processing fee of 2.9% + $0.30 is added to each card transaction and is shown before you pay.
  • The full balance must be paid no later than 30 days before departure.
  • Prices are per traveler in US dollars and cover what is listed on the trip page. Airfare is included only where you select an option that says so.

If a scheduled payment fails we will contact you and retry. A booking with a balance unpaid by the deadline may be cancelled under section 5.

4. What is and is not included

Each trip page lists the cities, guided site visits, lodging and transport included. Unless stated otherwise, prices exclude personal spending, travel insurance, meals not listed on the itinerary, and transport to and from the departure point.

5. Changes and cancellations

If you cancel. Tell us in writing. Deposits are never refundable. Amounts paid beyond the deposit are refundable as follows, measured from the date we receive your notice:

  • More than 60 days before departure — full refund of payments beyond the deposit.
  • 60 to 30 days before departure — 50% of payments beyond the deposit.
  • Fewer than 30 days before departure — no refund.

Changing a traveler. Up to 30 days before departure you may usually substitute one traveler for another at no charge. Later substitutions depend on supplier rules and may cost more.

If we cancel. We may cancel a departure that does not reach its minimum group size, or for reasons outside our control. You will be offered a place on another date or a full refund of everything paid, including the deposit. We are not responsible for separately booked travel, so please do not book non-refundable flights until we confirm the departure.

Itinerary changes. Sites occasionally close or reschedule. We may substitute a comparable experience, and will tell you as early as we can.

6. Travelers under 18

Minors must travel with a parent, guardian or an approved group chaperone. Registration requires a signed waiver plus emergency contact, medical and dietary information for each minor.

7. Health, accessibility and conduct

Tell us at registration about medical conditions, dietary needs or accessibility requirements. We will make reasonable adjustments, and will say plainly if part of an itinerary cannot accommodate a need.

These trips visit places of memory and mourning. We ask every traveler to behave respectfully toward those sites, their staff and fellow travelers. We may remove a traveler whose conduct endangers or seriously disrupts the group, at their own cost and with no refund.

8. Travel insurance

We strongly recommend travel insurance covering cancellation, medical care and baggage. It is not included.

9. Photography

We sometimes photograph trips for educational and promotional use. Tell us in writing at any time if you or your traveler should not appear, and we will honor it.

10. Liability

We take reasonable care in planning and running each journey. We are not liable for loss or injury caused by circumstances beyond our reasonable control, including weather, transport disruption, site closures, illness or acts of third-party suppliers. Nothing in these terms limits liability that cannot be limited by law.

11. Privacy

We handle personal information as described in our Privacy Policy.

12. Changes to these terms

We may update these terms. The version in force for your booking is the one published on the date you registered. Material changes will be emailed to affected travelers.
